Bookings enables you to use templates to divide a venue into locations and define activities that can occur in each location as well as setting minimum and normal duration periods and defining peak and off-peak periods. Using the preferred booking sequence allows you to place people in a specific part of the facility, for example ensuring squash court 1 is full before putting a match on court 2. Bookings also has the capability to allow you to set-up and change pricing structures with greater efficiency through the price matrix template as well as enabling you to price goods and services that you can sell or hire such as a venue, equipment or even a personal trainer.

Bookings also allows you to create and control management bookings and their subsequent payments with establishing rules to limit who can book what and when.

Group / Management Bookings

With any good booking system operators need the ability to manage sites and locations effectively for group bookings and management bookings. Xn's Bookings module has advanced features which will allow the block booking of specific locations at designated times with an automatic clash alert should bookings coincide with existing bookings already in place.

This functionality is underpinned by the ability to invoice for the management booking. The back office section of Xn's solution enables invoices to be raised and sent ensuring the administration of block bookings and payments are managed quickly and efficiently.

Booking Online

The real-time online booking module has been developed to enable compliance with e-government initiatives by offering basic booking ability online. Designed to complement existing services of booking via telephones, the Internet bookings module gives the opportunity for greater social inclusion for those who ordinarily cannot book over the phone because of disabilities such as impaired hearing. Internet Bookings can provide an information service that benefits customers and at the same time takes pressure away from your front desk.

Online Bookings provides customers with the facility to book online any time of the day or night, even when the centre is closed. Access to the bookings section of your website can be controlled by the customer entering their membership details and, where necessary, an additional password. Customers can then choose the activity and time they require. If the requested time is not available the customer will be prompted to try another option or will be offered a choice of alternatives. Xn have partnered and integrated with several online managed payment solutions to include; Capita, Civica and Worldpay. A managed service means:

  • High security - personnel will not have access to individual card details

A full development programme is underway to add additional functionality to online usage to enhance online self service functionality, expected for market release in the 2nd half of 2009
